Post-Award

Non-Financial Post-Award Administration within the Office of Sponsored Programs (OSP) ensures effective management of sponsored awards while balancing service excellence with regulatory compliance. Our team supports faculty, research staff, and administrators by facilitating award administration from receipt to closeout, ensuring compliance with sponsor terms.

Key Responsibilities

  • Award Review & Summary:

    Assess new awards, summarize key terms, and share details with stakeholders.

  • Interim Funding:

    support interim funding processes.

  • Stakeholder Coordination:

    Guide PIs and administrators on budgets, reporting, and award conditions.

  • Account Setup & Data Management:

    Establish accounts in the financial system and maintain accurate records.

  • Sponsor Liaison:

    Manage post-award actions such as no-cost extensions, budget revisions, and grant transfers.

  • Regulatory Compliance:

    Monitor policy updates and provide guidance on 2 CFR 200 and other regulations.

  • Deliverables Tracking:

    Work with fiscal officers to ensure timely submission of technical, financial, and invention reports.

  • Closeout & Retention:

    Issue account termination notices and maintain audit-ready records.

  • Training & Resources:

    Provide faculty training, award kickoff meetings, and compliance resources.


    This structured approach ensures effective management and oversight of sponsored awards, fostering collaboration and compliance across the institution.

Award Modifications

When a grant or contract is awarded, the sponsor expects adherence to the proposed scope of work and budget. However, research circumstances may change, requiring formal modifications. All modification requests must be submitted in writing and endorsed by your OSP representative. The type of award whether grant, cooperative agreement or contract will dictate the necessity for prior approval from a sponsor.

Types of Changes Requiring Prior Approval - This is not an exhaustive list.

  • Change in PI or Key Personnel

    • PI disengagement for >3 months

    • ≥25% reduction in PI effort (must justify impact on project objectives)

  • Budget Revisions

  • Scope of Work Changes

  • New Subawards

  • Award Transfers to Another Institution

  • Participant Support Cost Transfers

  • Changes to Cost-Sharing or Matching Contributions

  • Changes to the Data Management and Sharing Plan

Reporting and Deliverables

An award may require a number of different types of reports periodically on research performance, financial progress, and property acquisitions on sponsored awards, which are specified in its terms and conditions. It is important to confirm that all project deliverables, including final reports, have been completed and submitted as required by the sponsor and kept on file with the Office of Sponsored Programs. Reporting requirements are contained within the Notice of Award.

It is the Principle Investigators responsibility to complete Research Performance Progress Reports (RPPR) and any type of technical or performance related report. OSP manages other types of non-financial reports such as patent reports. All financial reporting, including property reports are managed by the Office of Sponsored Accounting and Cost Analysis.
