Student Accounts (FAQs)
When will I get my statement/bill?
All statements are posted and available on Workday. For the Fall Semester, statements will be posted by the 2nd week of July; for Spring, by mid-November; and for Summer, by mid-April. These statements will be updated at the end of each day to reflect any changes in your tuition and fee charges due to modifications you may make to your schedule.
After making any changes to your schedule, please check your Workday account the following day for updates.
If someone other than yourself will be making the payment, please inform them of the balance due and the payment due date. We are unable to release account information unless the person is an authorized user or listed on your FERPA. You can find the semester due date on our Payment Terms page, and all available payment methods are listed on the Payment Options page.
Only students can view the PDF Tuition Statements of Account in Workday. To view your current statement, simply log into:
myStevens → Workday → Finances → View Statement
What happens if I do not pay by the due date?
If a student’s account is not paid by the due date, a hold will be automatically placed on the account in Workday the day after the due date. This hold will prevent future registration and the release of diplomas.
Additionally, if the balance is not paid by the start of the term, a $550 late payment fee will be charged. Payment plans are still available after the due date; however, they may include the late payment fee. If the balance remains unpaid by the time registration opens for the next term, the student will be unable to register.
A final payment plan will be offered by our Collection Department for any unpaid balances. Enrolling in the payment plan through the Collection Department will not release the hold until the final payment is made. If the account remains unpaid after several attempts to reach the student, it will be referred to a collection agency.
Once the account is with a collection agency, payment arrangements can no longer be made directly with Stevens. The student will also be responsible for any additional collection agency fees, which can be up to 35% of the debt, along with any costs and reasonable attorney’s fees Stevens incurs in collecting the debt.
When and how do I receive a refund check?
Refunds are processed weekly. However, if you're expecting a refund for a new term, processing will begin only after the Financial Aid Disbursement Date, which typically occurs after the Add/Drop period. You can confirm this date with the Office of Financial Aid.
If all of your financial aid information is complete and are eligible for your refund your credit balance will be reflected in your Workday account. Please note the refund process is between 1–2 weeks. No action is needed from you—refunds are processed automatically by the Office of Student Accounts.
First-time recipients will receive an email at their Stevens email address to accept the refund. During this time, you will be able to create a profile through the refund portal (JP Morgan Concourse).
Continuing students may not receive an email but can check their refund status and accept it via JP Morgan Concourse.
Once the refund is available, students have 3 days to accept it. If not accepted, the refund will expire, and a check will be mailed to the address listed in Workday. Delivery can take 3–4 weeks, so ensure your Local Address is current in Workday.
For Parent PLUS Loan recipients:
Refunds are issued based on the parent’s preference on the loan application:
If the refund is designated for the student, it follows the student refund process above.
If the refund is designated for the parent, a check will be mailed to the parent’s address
listed on the loan application.
Why is my financial aid not reflected on my statement?
Once the term has been billed, your financial aid will appear on your statement under Anticipated Payments. However, financial aid is not fully disbursed until the Financial Aid Disbursement Date, which typically occurs after the Add/Drop Period.
Each term has a specific disbursement date, and your aid will only be disbursed if you’ve completed all required steps. To confirm the exact date, please contact the Office of Financial Aid.
Keep in mind:
Workday displays both a Total Account Balance and a Due Now amount.
Total Account Balance reflects all charges before any payments or aid.
Due Now reflects your balance after applying any payments and anticipated aid
If you have questions about how your refund is processed after disbursement, please reach out to the Office of Student Accounts.
Why is my housing deposit not showing on my student statement?
Housing deposit payments are processed through a separate portal and are not posted in the Student Workday account. These payments are made through Nelnet and can only be viewed in the student’s Nelnet profile, not in Workday.
Students can also view other non-tuition payments through Nelnet.
To view your housing deposit/ other payments in Nelnet:
Log in to myStevens
Navigate to Workday > Finances > Make a Payment Online
You will be redirected to Nelnet
Click View Details
Under Payments Made, you should see your housing deposit.
Note: The housing deposit will only appear in the Student Nelnet Account.
Am I required to pay the student health insurance charge?
Yes. Stevens Institute of Technology requires all undergraduate students, international students, and full-time graduate students to have health insurance coverage. As a result, the student health insurance charge is automatically applied:
Annually in the Fall semester for students enrolled in the Fall, or
In the Spring semester, students who begin their studies in the Spring and were not enrolled in the previous Fall.
Please note: Students and their parents/guardians often confuse this process with submitting insurance information to the Wellness Center. Submitting insurance to the Wellness Center is for records purposes only and does not waive the insurance charge.
How to Waive the Health Insurance Charge
Domestic Students: To waive the health insurance charge, domestic students must complete the Health Insurance Waiver Form. The waiver becomes active when billing for the Fall or Spring semester is released.
International Students: If you are an international student covered by a U.S. health insurance plan that meets all waiver requirements, please contact University Health Plans at 800-437-6448 or [email protected] to request the International Student Waiver Form.
If the submitted insurance plan is approved and deemed comparable to the Stevens plan, a waiver will be applied to offset the charge. The fee is not removed from the bill, but a waiver is applied to cancel it out.
Students should check their Stevens email for confirmation that their waiver form has been received. This confirmation is the only official acknowledgment that a waiver was successfully submitted.
For additional information, visit: Student Health Insurance Plan Information
Waiver Deadlines:
Undergraduate Students: September 15
Graduate Students: September 15
Spring Admits: February 2
Important: The waiver form closes the day after each deadline. Late submissions will not be accepted. If the waiver is not submitted and approved by the applicable deadline, the student will be responsible for paying the health insurance fee.
Can my account be paid by someone other than myself?
Yes, but students must take two steps to allow others to make payments or access account information:
Set Up an Authorized User in Nelnet:
Students must add a parent, guardian, or another trusted individual they wish to grant access as an Authorized User in the Nelnet billing portal. This grants them access to view and make payments on the student’s behalf. Access is limited to billing information only.
Add the Individual to the Student's FERPA Authorization:
To speak with any Stevens department regarding Financial Aid, Academics, Student Life, or Student Accounts, the individual must be listed on the student’s FERPA authorization. FERPA (Family Educational Rights and Privacy Act) protects student information. Without this authorization, we cannot share any details, even if the person is making payments.
The FERPA Release form, which students may use to authorize the release of their education records, is available on Workday for student to complete. It can be found by selecting the Requests application on your Workday homepage, then selecting “Create Request.”
Important: The student remains the primary account holder, and full authorization is required per FERPA policy. Without these steps, Stevens staff will not be able to confirm the student’s status, balance, or other account details to a third party.
Why am I not able to access my child's tuition bill directly?
The student is the primary account holder for tuition and billing purposes. Due to privacy regulations, parents or guardians cannot automatically access their child’s billing information. To grant access, the student must add you as an Authorized User in Nelnet, our official billing portal.
Once your student adds you in Nelnet:
You will receive an invitation via email.
You must accept the invitation and complete your profile to finalize your access.
As an Authorized User, you will be able to:
View the tuition bill
Make payments
Set up payment plans on the student’s behalf
Please note: This access is limited to billing only. It is separate from being added to the student’s FERPA authorization. If you need access to academic records or other educational information, your student must grant that separately through their Workday account.
How can my child add me as an Authorized User on the billing portal?
To add an Authorized User, your student must follow these steps:
Log into their Workday account through: myStevens > Workday > Finances > Add Authorized Party
They will be redirected to Nelnet, our billing portal.
In Nelnet, the student can add you as an Authorized User by entering your email address and setting up your access.
Important: After your student adds you, you will receive an email invitation from Nelnet. You must accept the invitation and complete your profile to gain full access to the billing portal.
