Graduation Check List
The three steps (and information about each step) for the check-out process are listed below.
1. Complete an Application for Candidacy (AC)
The Application for Candidacy (AC) is the official form required for graduation. You can find your form on the Registrar's website at www.stevens.edu/registrar under FORMS. The AC is essentially your final Study Plan and is treated as a contract and as a checklist for graduation. After you have completed the AC and it has been signed/approved by your advisor, it must be submitted to the Office of the Registrar, the Student Service Center, or faxed to 201-216-8030. After the Office of the Registrar has reviewed your application, you will be contacted by your Stevens email. To see if your AC has been received, you can check the Web for Students website at es.stevens.edu. If you see "Application for Candidacy Received", then your AC has been received.
The deadlines for submitting your AC is October 1 for Spring graduates and August 1 for Fall graduates. A late fee will be charged for ACs received after the appropriate due date. 2. Complete an on-line Exit Interview for Financial Aid
All students who have borrowed a federal student loan (Direct Loan and Perkins) attending Stevens Institute of Technology must complete an Exit Interview. The purpose of the Exit Interview is to explain your obligations and rights as a student loan borrower.
Information and directions about completing the Exit Interview is located on the Financial Aid website at www.stevens.edu/sit/financial-aid/exit-interview. Interviews should be completed between April 16 and May 16, 2015. If an exit interview is not completed, a transcript hold could be placed on your account.
There will be an information session regarding exit interviews scheduled in April (time and date TBD). This meeting is not mandatory, however if you have any questions or concerns you are encouraged to attend. 3. Meet Financial Obligations
Grade reports, diplomas, transcripts and degree verifications will be withheld if any balance remains on a student’s account. Students must view the notifications on their ebilling statements regarding impending Late Payment Fee assessment on outstanding balances and other important information regarding their account.
Cash and check payments are accepted in the Student Service Center. Students can make ACH and credit card payments through Web for Students. Stevens accepts VISA, MasterCard, American Express and Discover. For questions concerning your student account information, contact the Student Service Center at 201-216-5555 or email@example.com
Commencement for all undergraduate and graduate candidates will begin at 9 a.m. on Wednesday, May 20, 2015 at the Prudential Center, Newark, NJ. The ceremony is scheduled to last approximately 3 hours.
For your family and guests who would like to attend, complimentary tickets can be ordered from this website. Tickets are ordered online and then emailed to the recipients. Tickets must be shown at the door – every guest must have a ticket.
Please do not bring any items that you cannot carry on your person during the ceremony. Prudential Center reserves the right to search any and all small bags. Balloons are strictly prohibited. We are not responsible for items left behind or lost during the ceremony.
Doors open at 7 a.m. for graduates (Lafayette Tower), and 7:30 a.m. for guests (PNC Tower). Undergraduates should arrive at the Prudential Center by 7:30 a.m. at the latest for lining up in your respective schools. Parking is available in paid lots around Prudential Center, and it is only 3 blocks from Penn Station (with NJ Transit and PATH access). Stevens is offering complimentary bus service for graduating students from campus, as well as university faculty and staff. Buses will leave campus from 6:30am-7:15am, and will return immediately following the ceremony. Tickets are required in both directions. To request HOBOKEN to NEWARK bus tickets, click here. THE DEADLINE TO ORDER YOUR ACADEMIC REGALIA THROUGH HERFF JONES HAS PASSED.
Orders for academic regalia such as caps, gowns, and hoods must now be placed through the campus store. To request your regalia, please contact Teresa Tridente at 201-216-5101 or by email at Teresa.email@example.com. If you are receiving multiple degrees, please order academic regalia for both degrees. In addition to ordering your free Academic Regalia, you may also order Announcements, Diploma Frames or Graduation Packages on the same site, but please note that these items must be purchased and will come at a cost to you. Your Academic Regalia will be free regardless of any additional items or package you choose. If you are receiving dual degrees, please order the regalia for each degree. For the ceremony, you will process and sit with your undergraduate class and walk across the stage once. All dual degree recipients will be asked to stand near the end of the ceremony and recognized by a round of applause.
Academic Regalia will be available for pick up at the Campus Bookstore on the first floor of the Howe Center on the following dates and times:
May 11–14 from 11 a.m.–7:30 p.m.
May 15-16 from 11 a.m.– 4 p.m.
May 18-19 from 11 a.m. – 7:30 p.m.
If you are unable to pick up your regalia prior to Commencement Day, then it will be available at the Prudential Center starting at 7 a.m. PLEASE ARRIVE EARLY to pick up your regalia if you are picking it up on May 20th.
Photographs/Video at the Ceremony
Since graduates will have received their academic regalia in advance, we suggest having photographs taken prior to arrival. Guests may take photos and video from the guest seating areas at Prudential, but guests will not be permitted in the graduate seating area, stage or aisles.
Stevens has contracted with a special event photographer to take several color photos of each graduating student as his/her diploma is being presented. Approximately one month after the ceremony, the studio will email proofs and ordering information to each graduate to their Stevens email address that is on file with the Registrar’s Office. Please make sure your email address is correct, otherwise there will be a delay in getting your proofs. Post-Commencement Diploma Distribution
Diplomas are NOT distributed at the Commencement Ceremony. Graduates may pick up their diplomas on campus the week after the Commencement Ceremony if they so wish. Diplomas will be distributed on the first floor of the Howe Center on May 27, 28, and 29 from 10 a.m. – 4 p.m. Un-collected diplomas will be mailed to students in June. In order to pick up your diploma or have it picked up on your behalf, you must complete the Degree Release Form, which can be downloaded by clicking here. The form must be completed, signed and submitted to the Office of the Registrar in person or by fax at 201-216-8030.
Class of 2015 Board of Trustees Alumni Representative
Each year, the Stevens Board of Trustees selects one graduating student from the undergraduate class to serve a two-year term on the Board. In order to be considered for this position, interested undergraduate students should print out and complete the Nomination Petition available by clicking here. Once completed, the student should solicit (at least) 35 signatures of graduating undergraduate students who are willing to support them in their efforts. The Petition must be returned to the Office of Student Life by Friday, April 17, 2015 at 5 p.m.
After all petitions have been received, voting will be made available online at www.stevens.edu/vote. Voting will begin on Monday, April 27, 2015 at noon and end on Friday, May 8, 2015 at 5 p.m. The students with the top three most votes will then be requested to submit a résumé to the Board of Trustees and schedule an interview. The name of the newly appointed representative from the Class of 2015 will be announced during the Commencement Ceremony.
