GRADUATION CHECK LIST

The three steps (and information about each step) for the check-out process are listed below.

1. Complete an Application for Candidacy (AC)

The Application for Candidacy (AC) is the official form required for graduation. You can find your form on the Registrar's website at stevens.edu/sit/registrar/forms. The AC is essentially your final Study Plan and is treated as a contract and as a checklist for graduation. After you have completed the AC and it has been signed/approved by your advisor, it must be submitted to the Office of the Registrar, the Student Service Center, or a scanned copy via your Stevens email address to [email protected]. After the Office of the Registrar has reviewed your application, you will be contacted by email. To see if your AC has been received, you can check the Web for Students website at es.stevens.edu. If you see "Application For Candidacy Received," then your AC has been received.

The deadlines for submitting your AC is February 15 for Spring graduates and October 1 for Fall graduates. A late fee will be charged for ACs received after the appropriate due date. 2. Complete on-line Exit Counseling for Financial Aid

All students who have borrowed a federal student loan (Direct Loan and Perkins) attending Stevens Institute of Technology must complete Exit Counseling. The purpose of Exit Counseling is to explain your obligations and rights as a student loan borrower and is a federal requirement. Direct Loan exit counseling is completed online at studentloans.gov.

Graduating Perkins loan borrowers will be contacted by Heartland ECSI (https://borrower.ecsi.net/) with instructions to complete the exit counseling process. Exit Counseling should be completed between April 15 and May 13, 2016. If exit counseling is not completed, a transcript hold could be placed on your account.

3.  Meet Financial Obligations

Grade reports, diplomas, transcripts and degree verifications will be withheld if any balance remains on a student’s account. Students must view the notifications on their ebilling statements regarding impending Late Payment Fee assessment on outstanding balances and other important information regarding their account.

Cash and check payments are accepted in the Student Service Center. Students can make ACH and credit card payments through Web for Students. Stevens accepts VISA, MasterCard, American Express and Discover. For questions concerning your student account information, contact the Student Service Center at 201-216-5555 or [email protected]

COMMENCEMENT CEREMONY

Commencement Ceremonies will take place at the Meadowlands Expo Center in Secaucus, New Jersey on Wednesday, May 25, 2016. There will be 2 ceremonies – the graduate ceremony for PhD and master’s degree candidates will be held at 11 AM, and the undergraduate ceremony for all bachelor’s degree candidates at 3 PM.

Each graduate student will be allowed up to 4 tickets for their guests. Tickets will be distributed electronically starting on March 1, 2016. Further information will be posted on this website on how to receive your tickets. If there are a large amount of unclaimed tickets as of May 1, 2016, then these tickets may be released to all graduates on a first come-first serve basis. Every guest MUST have a ticket to enter the venue.

Please do not bring any items that you cannot carry on your person during the ceremony. There is no storage area for graduates’ personal items, and we are not responsible for items left behind or lost during the ceremony.

ARRIVAL TIME

Graduates should arrive at the Meadowlands Expo Center NO LATER THAN 10 am to allow time to lineup by school and, if necessary, pick up regalia. Doors open for guests at 10:15 AM. Once you arrive at the Meadowlands Expo Center, you will be directed to the correct area, whether you are a graduate or a guest.

BUS SERVICE

Stevens will offer complimentary bus service for graduating students from campus, as well as university faculty and staff. Further information on bus departure and arrival times will be posted at a later date. Please note: parents, family and guests are strongly encouraged to use personal or public transportation to get to the Meadowlands Expo Center. 

PARKING

Meadowlands Expo Center has plenty of free parking for graduates and guests. A limited amount of handicapped parking will be available close to the Expo Center for those with the appropriate hang tags. Parking attendants will direct cars to the closest available parking area once you arrive at the Expo Center. 

ACADEMIC REGALIA

Academic Regalia (cap, hood, gown) is required to participate in the Commencement Ceremony and (if applicable) the Ph.D. Hooding Ceremony. Orders for academic regalia such as caps, gowns, and hoods can be placed through the Herff Jones website starting on February 1, 2016: collegegrad.herffjones.com.

Once on the website, search for "Stevens Institute of Technology" and then follow the instructions. Click on the CAP AND HOOD tab to order your FREE academic regalia.  In addition to ordering your Regalia, you may also order Announcements, Diploma Frames or Graduation Packages on the same site, but please note that these items must be purchased and will come at a cost. Your Academic Regalia will be free regardless of any additional items or packages that you choose.

REGALIA PICK-UP

Academic Regalia will be available for pick up at the Campus Bookstore on the first floor of the Howe Center in May. Exact dates and times will be posted here in the near future.

If you are unable to pick up your regalia prior to Commencement Day, then it will be available at the Meadowlands Expo Center starting 2 hours prior to the ceremony. PLEASE PLAN TO ARRIVE EARLY if you are picking up your regalia on May 25.

PHOTOGRAPHS/VIDEO AT THE CEREMONY

Since graduates will have received their academic regalia in advance, we suggest having photographs taken prior to arrival.  Guests may take photos and video from the guest seating areas at Meadowlands Expo Center, but guests will not be permitted in the graduate seating area, stage or aisles.

Stevens has contracted with a special event photographer to take several color photos of each graduating student as his/her diploma is being presented. Approximately one month after the ceremony, the studio will email proofs and ordering information to each graduate to their Stevens email address that is on file with the Registrar’s Office. Please make sure your email address is correct, otherwise there will be a delay in getting your proofs. DIPLOMA DISTRIBUTION

Diplomas are NOT distributed at the Commencement Ceremony. Graduates may pick up their diplomas on campus the week after the Commencement Ceremony if they so wish (exact dates and times to be announced). Un-collected diplomas will be mailed to students in June.  

In order to pick up your diploma or have it picked up on your behalf, you must complete the Degree Release Form. The form must be completed, signed and submitted to the Office of the Registrar in person or or a scanned copy via your Stevens email address to [email protected].
