Subject: Important Information for Students Arriving from Outside of the U.S.

Students who are arriving on campus for the fall 2021 semester from locations outside of the United States must take extra precautions before, during and after travel due to COVID risks and restrictions. As you make your travel arrangements and plan for your arrival on campus for the fall semester, there are many guidelines and dates to keep in mind. Please carefully review and consider the guidance, recommendations, and services below as you make your plans.

International Travel Guidelines (determined by the US Center for Disease Control)

Students who are traveling to New Jersey from an international location and who are fully vaccinated must:

  • Have a negative COVID-19 test result no more than 3 days before travel or documentation of recovery from COVID-19 in the past 3 months before they board a flight to the US; documentation must be provided at the initial departure location
  • Wear a mask while traveling
  • Get tested with a viral test 3-5 days after travel
  • Self-monitor for COVID-19 symptoms; isolate and get tested if you develop symptoms

Students who are NOT fully vaccinated (either unvaccinated or partially vaccinated) and who are traveling from an international location to New Jersey must...

  • Have a negative COVID-19 test result no more than 3 days before travel or documentation of recovery from COVID-19 in the past 3 months before they board a flight to the US
  • Wear a mask while traveling 
  • Avoid crowds and stay at least 2 meters/6 feet from anyone not traveling with you
  • Wash your hands often while traveling
  • Self-quarantine for seven full days after travel, even if you test negative 
  • Get the vaccine as soon as possible upon arrival to the US (you may leave quarantine for the vaccine appointment and then return to quarantine immediately after the appointment)
  • Get tested with a viral test 3-5 days after travel 
  • If your test is positive, isolate yourself
  • Self-monitor for COVID-19 symptoms; isolate and get tested if you develop symptoms

Please note that individuals who have been exposed to COVID-19, who are sick, who test positive for COVID-19, or who are awaiting the results of a COVID-19 test should NOT travel. If you have recovered from COVID-19 in the past three months, follow all travel guidelines for fully vaccinated travelers. Check in advance to determine if your airline requires any additional health information, testing or other documents and be sure to bring these items with you to the airport.

Stevens Vaccine Requirement 

All students and full-time and part-time employees, including but not limited to faculty, full-time staff, adjuncts, and part-time staff whose program of study or work assignment requires them to be on campus for the Fall 2021 semester must be vaccinated with a COVID-19 vaccine that has been authorized or granted emergency use authorization (EUA) by the U.S. Food and Drug Administration. Limited exemptions from the COVID-19 vaccine requirement will be considered for medical and religious reasons. See the full text of the May 24th announcement and FAQs for more information on this requirement. 

Stevens will accept COVID-19 vaccines approved by the U.S. Food & Drug Administration (“FDA”) or World Health Organization (“WHO”). As of today, June 24, 2021, the approved vaccines include those manufactured by Pfizer-BioNTech, Moderna, Janssen/J&J, AstraZeneca/Oxford/Covishield, Sinopharm (Beijing), and Sinovac-CoronaVac (Beijing). Please continue to monitor these lists regularly as vaccination approvals may change.

All faculty, staff and students who have received all doses of the COVID-19 vaccine should promptly submit evidence of the vaccination (such as a vaccination card), including the vaccination date(s) and vaccine name, through Workday. Student instructions on how to submit your documents are available online. Stevens will keep individuals’ vaccination information confidential.

Getting Vaccinated in the U.S.

Stevens recommends that students who will need to be vaccinated after arriving in the U.S. arrive in the country as early as possible and, ideally, 30 days before the first day of classes on August 30 to accommodate a quarantine period, testing, and potential vaccination appointments. Students arriving from international locations who are unvaccinated or partially vaccinated may leave the post-travel quarantine period to receive a vaccination and then return to quarantine immediately after being vaccinated.

Getting Vaccinated On-Campus at Stevens

Bergen New Bridge Medical Center (BNBMC) will provide a COVID-19 Vaccination Program on campus for students coming to Stevens from international locations. The Moderna (two doses given 28 days apart) and the Janssen/J&J vaccine (one dose) will be offered. Students may choose which vaccine they would like to receive. Vaccinations will be given in the Student Center from 9 AM - 12 PM on the dates listed in the on-campus vaccination schedule below.

Students are asked to pre-register and schedule an appointment to receive their choice of vaccine; however, walk-ins with no appointments will also be vaccinated. Please be aware that those who register for the Moderna vaccine require two doses and students must be available on the date listed below for the second dose which will also be administered on-campus.

BNBMC has provided the link and access code below for pre-registration and appointment scheduling. The link and codes below should not be shared and are intended for those who are enrolled at Stevens Institute of Technology for the fall 2021 semester. You must bring a government-issued identification card (i.e., driver’s license, passport, etc.) your Stevens Identification Card (DuckCard) if you have already received it, and your health insurance card on the day of the vaccination program.

Please use the link and passcode below to pre-register for your COVID-19 Vaccination. After clicking on the link, students will be prompted to enter the passcode for the vaccine which they would like to receive. Students will then be connected to a page on which the appointment date can be selected. 


Walk-ins will be accommodated, but it is strongly encouraged that students make an appointment. Students may change the vaccine they would like to receive when they arrive for the vaccination. This vaccine is administered as part of a ‘Bergen New Bridge Medical Center Vaccination Program’. If your address is out of state or outside of the United States, use Stevens’ address (1 Castle Point on Hudson, Hoboken NJ 07030) for registration purposes.

After selecting an appointment time, you will be sent both a text and an email confirmation. Please disregard the messaging requiring you to ‘provide proof of residency or proof of office location in Bergen County’ inside the confirmation email.

Important Information for getting the COVID-19 Vaccine

  • Be sure to wear a medical mask or a cloth mask over your nose and mouth.
  • Arrive no more than 5 minutes before your designated time so you can be screened at the front entrance. 
  • Plan to be at the vaccination site for 45 to 60 minutes, including post-vaccine observation period.
  • Wear loose-fitting shirts or tops to facilitate giving you the shot in your upper deltoid (shoulder muscle).
  • Bring your government-issued identification card (i.e., driver’s license, passport, etc.), Stevens Identification Card (DuckCard) if you have already received it, and Health Insurance Card.

Getting Vaccinated in Hoboken or Jersey City

Students who wish to be vaccinated off-campus or who would like a vaccination at a different date and time from the vaccines offered on-campus should consider the local vaccination options in Hoboken and Jersey City

Early Arrivals and Quarantine in Stevens Housing for Residential Students

International undergraduate students or undergraduate students residing in international locations who will be living in Stevens’ housing for the fall 2021 semester and would like to arrive early on campus to receive a vaccination or for the required quarantine may do so at no additional housing cost. Meals and groceries are available at your own expense from local restaurants and supermarkets; student meal plans for the fall semester begin on Monday, August 23, 2021. 

Students who will be living in Stevens’ housing and need to arrive early must email [email protected] as soon as possible and no later than July 15, 2021 to make an early arrival request; please indicate in that email that you are an international student arriving early for vaccination and/or quarantine.

Early Arrivals and Quarantine for Graduate Students

Graduate Student Life has secured limited accommodations at the Sheraton Lincoln Harbor for graduate students who are required to self quarantine. Students will be offered a flat fee at the discounted rate of $300 for the seven days quarantine period. Meals and groceries are not included - they can be purchased at your own expense from local restaurants and grocery stores. Registration for Temporary Housing & Quarantine Accommodations registrations are open. Earlier this week an email communication with instructions on how to register for the service(s) was sent via email. Once the reservation is confirmed, you will receive an email confirmation through your Stevens email.

Graduate Student Housing Options Near Stevens

Finding a special place to live while you are a student at Stevens is important. Stevens Institute of Technology and the Office of Graduate Student Affairs have partnered with, a company that specializes in providing Off-Campus Housing solutions for students, faculty, and staff. 

Airport pickups for Graduate Students

The Office of Graduate Student Life offers free airport pickup for new Graduate students arriving at Newark International (EWR) or John F. Kennedy Airports (JFK). This service begins on Monday, August 9, 2021 and concludes on Sunday, August 22, 2021 between the hours of 9 AM - 9 PM EST. Advance registration is REQUIRED. Please take note that drop off locations are limited to Stevens Institute - Hoboken campus or our Temporary Housing location. Information regarding registration for this service will be sent directly to the email address you provided when initially applying to Stevens. 

International Student Check-In

Each semester, newly arriving F-1 and J-1 Students must participate in the ISSS International Student Check-In. This takes place after you arrive in the United States. This process is required and very different from the orientations held by Graduate Student Affairs, and is an important part of beginning your international student journey at Stevens Institute of Technology. 

Online International Students

Students who are registered for programs that are fully online and will not come to campus are not covered by the vaccination requirement. Please visit the Student Health Services Health and Immunization Records website for additional information. 

New Undergraduate International Student Orientation

New Undergraduate International Orientation is August 24, 2021 and will take place in-person. Orientation will begin at 9:00AM. Details regarding session offerings, locations, and times will be emailed. This orientation is for all new, first-year international undergraduate students and rising international sophomores who have not been to campus previously. Immediately following International Orientation, all undergraduate students (including new International students) are expected to participate in New Student Orientation between August 25-29, 2021. 

New Undergraduate Student Orientation

All incoming students will be required to participate in New Student Orientation that will take place in-person between August 25-29, 2021.Orientation is designed to welcome you to our vibrant community, learn about academic and student services, and meet other incoming students. To help you navigate orientation and your first semester of college, each incoming student will be welcomed by and assigned to a current student known on-campus as a Peer Leader. Details regarding specific sessions offerings, locations and times will be emailed. 

Graduate Student Orientation

New Master’s Student Orientation is August 24 & 25, 2021 and will take place in- person. Details regarding session offerings, locations, and times will be emailed. Please save the date for a Welcome BBQ on August 23 and for our Involvement Fair on September 3. 

New Ph.D. Student Orientation will take place on Thursday, August 26, 2021 and will be held in person. All new doctoral students are expected to attend. Details regarding registration and program schedule will be sent via your Stevens email during the first week of July.
