Administrative Capabilities and Services

Administrative Technology Services at Stevens Institute of Technology provides application support for administrative departments. The administrative services staff consists of an application manager and information systems specialist whose duties include maintaining administrative applications and support of the administrative department which directly uses the application. Systems, personal computer, and networking support is provided by the Information Technology staff responsible for those areas. Administrative Technology Services, Computer and User Services, Networking, and Systems staff report to the Associate Vice President of Technology and Information Services.

Application support provided by Administrative Technology Services includes systems planning, evaluation, implementation, system security, and maintenance. Functional administrative computing activities are decentralized to user departments who have a staff person responsible for reporting, data maintenance and integrity, training, and daily processing activities. In addition, the Associate Vice President of Technology and Information Services is responsible for student data coordination by chairing the Student Information System Project Team.

Stevens administrative technology may be categorized into three general areas; centralized information systems running on an OpenVMS HP Alpha Server, networked servers, and PC-based office automation. All administrative departments have file services available via the campus network that are secured and backed-up by Information Technology. Authentication and access to the network resources is via Microsoft Active Directory.

The centralized administrative systems at Stevens consist of student information and financial records systems. The student information and financial records systems are the Plus Series licensed from SungardHE. The Plus student information system includes components for processing billing and receivables, financial aid, admissions, housing, registration, degree auditing, and student records. The financial record system includes accounts payable, fixed assets, general ledger, and purchasing. Human Resources and Payroll processing is handled by an outside vendor (ADP) with batch interfaces to the general ledger and financial aid components of finance and student.

In addition to supporting direct administrative functional users and applications Administrative Technology Services offers inquiry access to student and financial systems to faculty and other administrators. Faculty and administrators can review student information and class rosters online and staff and principal investigators with budget responsibility have access to up-to-date financial data. Students and faculty advisors gain access to student records via web based student and faculty self service applications provided by SungardHE.

The desktop automation activities supported by Technology and Information Services include word processing, spreadsheet, and database applications. These activities are carried out in both standalone configurations and on the campus network servers providing file and printer services.
