What are the steps in the graduation process?

The five steps (and information about each step) for the check-out process are listed below.


1.  Complete an Application for Candidacy (AC)

The Application for Candidacy (AC) is the official form required for graduation. You can find your form on the Registrar's website at under FORMS. The AC is essentially your final Study Plan and is treated as a contract and as a checklist for graduation. After you have completed the AC and it has been signed/approved by your advisor, it must be submitted to the Office of the Registrar, the Student Service Center, or faxed to 201-216-8050. After the Assistant Registrar has reviewed your application, you will be contacted by email. To see if your AC has been received, you can check the Web for Students website at If you see filed graduation plans, then your AC has been received.

The deadlines for submitting your AC is March 1 for Spring graduates and October 1 for Fall graduates.  A late fee will be charged for ACs received after the appropriate due date. If you have not yet filed, please do so immediately. Be sure to check off the box at the top of the form if you plan to attend the commencement ceremony on May 21, 2014.

2.  Complete an on-line Exit Interview for Financial Aid

All students who have borrowed a federal student loan attending Stevens Institute of Technology must complete an Exit Interview.  Federal regulations require an Exit Interview as a condition of receiving a federally funded student loan, such as a Direct Loan, Unsubsidized Direct Loan or Perkins Loan. The purpose of the Exit Interview is to explain your obligations and rights as a student loan borrower.

Information and directions about completing the Exit Interview is located on the Financial Aid website at   Interviews should be completed between April 16 and May 16, 2014. If an exit interview is not completed, a transcript hold could be placed on your account.

There will be an information session regarding exit interviews on April 16th from 2–4p.m. in the Fielding Room, 3rd floor, Howe Center. This meeting is not mandatory, however if you have any questions or concerns you are encouraged to attend.

3.  Complete an on-line Exit Survey for Graduate Student Affairs

All graduate students are being asked to complete a short, anonymous exit survey to help improve the graduate student experience for others in the future.  This exit survey is requested by the Office of Graduate Student Affairs and is not mandatory.  The Exit Survey is located online at

4.  Meet Financial Obligations

In order to participate in commencement exercises, you must settle any outstanding balances.  Grade reports, diplomas, transcripts and degree verifications will be withheld if any balance remains on a student’s account. Please be advised that the Late Payment Fee is $550. Students must view the notifications on their ebilling statements regarding impending Late Payment Fee assessment on outstanding balances and other important information regarding their account.

Cash and check payments are accepted in the Student Service Center. Students can make ACH and credit card payments through Web for Students. Stevens accepts VISA, MasterCard, American Express and Discover. A non-refundable service fee of 2.75% (minimum of $3.00) will be added to your payment.

5.  Pick up your Commencement Tickets and Invitation packet

Each graduating student will receive eight (8) tickets along with coordinating invitations. Commencement packet pick up will begin on April 14, Monday through Friday, between the hours of 10:00 a.m.–12:30 p.m. and 2–4 p.m. You can pick up your packet from Jane Gilbarty in the Student Life Office, 10th Floor Howe Center. A valid ID card is required along with a zero balance in your account to be able to obtain your tickets.  If you would like your commencement packet mailed to you, please email Jane Gilbarty at


How will I receive communications from Stevens about commencement and related activities?

You will receive all information via your Stevens email account.  We will not send information to any other email addresses.


Where can I order my academic regalia (cap, gown and hood)?

Orders can be placed through the Campus Bookstore website at  The deadline to order your academic regalia is midnight on April 4, 2014.  There is no fee for your academic regalia and it is yours to keep after the commencement ceremonies. When is the actual commencement ceremony?

Commencement for graduate candidates will be held Wednesday, May 21, 2014 at 10 a.m. at the IZOD Center, East Rutherford, NJ.


How do I get to the IZOD Center?

Graduates are encouraged to travel to the IZOD Center by their own means. Free parking is available for graduates and guests. Graduates must arrive by 9:00 a.m. and should enter through the Box Office entrance, following signs and ushers to the correct area for organization and line up.  Only those in attendance will have their names read.

Students and families needing transportation from Hoboken will gather on-campus in the Canavan Arena, located in the Schaefer Center starting at 7:30 a.m. A short procession in academic attire will commence at 7:50 a.m. through the Castle Gate to buses for those students who need transportation.

At completion of the ceremony, the expectation is that the students will depart with their families. For those students and families who came by shuttle bus from Stevens will be able to return to the campus by the same shuttle buses.


What can I bring with me to the IZOD Center?

You should have your academic regalia (cap, gown and hood) with you. However, please do not bring any items that you cannot carry on your person during the ceremony. All bags will be searched at the door by the IZOD House Staff. We are not responsible for items left behind.


When can my guests arrive at the IZOD Center?

The concourse level will be open for guest starting at 8:30 a.m. and seating will be available at 9:00 a.m.


Can my guests park at the IZOD Center?

Yes, your guests can park in the IZOD Center parking areas.  Parking is free during the ceremony.


Can my guests take photographs at the commencement ceremony?

Since graduates will have received their academic regalia in advance, please have photographs taken prior to arrival.  Photos may be taken from the guest seating areas at IZOD, but guests will not be permitted in the graduate seating or stage areas.

Stevens has contracted with a special event photographer to take several color photos of each graduating student as their diploma is being presented. Approximately one month after the ceremony, the studio will email proofs and ordering information to each graduate to their Stevens email address that is on file with the Office of the Registrar. Please make sure your email address is correct, otherwise there will be a delay in getting your proofs. What if I don’t plan on attending the commencement ceremony?

Graduates who are unable to attend the commencement ceremony may pick up diplomas in the Student Service Center.  The date that diplomas will be made available will be announced soon.  In order to pick up your diploma or have it mailed, you must complete the Degree Release Form, which can be downloaded by clicking here.  The form must be completed, signed and submitted to the Office of the Registrar in person or by fax at 201-216-8030.  International mailing is not available.
