Graduation Guide
Commencement Ceremony: Thursday, May 21, 2009
Note: Degrees will be conferred twice this year: January, for students who complete requirements in the fall, and May for students who complete requirements in the spring. There will be one Commencement Ceremony for January and May conferees in May.
Graduation Requirements
For students who expect to complete degree or certificate program requirements, the following requirements must be met:
- An Application for Candidacy must be completed, signed by your advisor, and submitted to The Registrar's Office, by October 1 for all undergraduates (Fall or Spring Completion), November 1 for graduates completing in the Fall, or April 1 for graduates completing in the Spring. A $75 late fee will be charged for Applications for Candidacy received after the appropriate due date. Application for Candidacy forms are available from our forms page, the department or your advisor.
- The $210 Bachelor's, $225.00 Master’s and Ph.D. graduation fee or $65.00 Graduate Certificate fee must be paid when the Application for Candidacy is submitted.
In addition, if you are submitting a Master's Thesis, Degree of Engineer Project or Ph.D. Dissertation, the following requirements must be met:
Master’s Thesis Requirements
- A thesis is not required for most programs.
- Specifications for thesis writing is available from the S.C. Williams Library, or 201-216-5415.
- Approval of the thesis is required from your Advisor and a second reader (please talk to your advisor about specific departmental regulations).
- An approved original and two (2) copies, a Microfilm Release Form (available from the Library Special Collections, 201-216-5415) and a $110 binding fee are due in the Library by the specified date in the Academic Calendar.
Engineer Project Requirements
- A design project carrying from 8 - 15 credits is required. (Specific departmental requirements should be discussed with your advisor.)
- Specifications for project report writing is available from the S.C. Williams Library, or 201-216-5415.
- An approved original and two (2) copies, a Microfilm Release Form (available from the Library Special Collections, 201-216-5415) and a $110 binding fee are due in the Library by the specified date in the Academic Calendar.
Ph.D. Dissertation Requirements
- Specifications for dissertation writing is available from the S.C. Williams Library, or 201-216-5415.
- Public defense of the dissertation is required by the Last Day of Class for the Semester (check the Academic Calendar for the exact date).
- An approved abstract of the thesis and the date, time and place of the defense must be submitted to the Registrar's Office ten business days prior to the actual defense.
- An approved original and two (2) copies, a Microfilm Release Form, UMI Publication Agreement form, and Survey form are available in the Library Special Collections, 201-216-5415. A $220 fee ($110 binding and $110 microfilming) is due in the Library by the specified date in the Academic Calendar. It is suggested that you pick up a copy of the UMI Publications Agreement form and Survey form from the library ahead of time.
- Dissertation Report signed by your Advisory Committee is due to the Registrar's Office by the specified date in the Academic Calendar.
Application for Candidacy
Before you can graduate, an Application for Candidacy (AC) must be completed, signed by your advisor, and submitted to the Registrar's Office.
A $75 late fee will be charged for Applications for Candidacy received after the due dates.
AC forms are available from the forms page.
Once your AC is signed by your advisor, you may mail or fax it to the Registrar's Office at 201-216-8030.
You may verify receipt and status of your Application for Candidacy on Web for Students under "Graduation Checkout."
Submission of the AC is your notice to Stevens that you are ready to graduate. The Office of the Registrar will review this document and inform you of any issues that may affect your ability to graduate.
Graduation Fee
There is a $210 Bachelor's graduation fee, $225.00 Master's and Ph.D. graduation fee and $65.00 Graduate Certificate fee.
If you anticipate receiving multiple dgrees, you will be charged for each individual Undergraduate and Graduate degree awarded.
Additionally, you will also be charged separately for a Graduate Certificate fee, should that apply.
Please make checks payable to Stevens Institute of Technology and mail to the Student Service Center (indicate it is a Graduation Fee).
Alternatively, you may fax the Credit Card Billing Authorization form to the Student Service Center at 201-216-8050.
Commencement Ceremony
Commencement Ceremony events are organized by the Office of Student Life. More information about the ceremony can be found here.
Undergraduates should note the Participation Policy.
Diplomas
Diplomas for those who complete their degree in December will be awarded in late January/early February.
Diplomas for those who complete their degree in May will be handled as follows:
- Bachelor candidates attending the Undergraduate Ceremony will receive their diplomas at the ceremony.
- Ph.D candidates attending the Graduate Ceremony and will receive their diploma at the ceremony.
- Master's candidates attending the Graduate Ceremony will have their diplomas mailed to to the home address.
- Those not attending will have their diplomas mailed to the home address.
Transcripts
If you need official or unofficial copies of your transcripts, you may come to the Student Service Center (Howe Center Building Lobby) to complete a Transcript Request Form.
If you are unable to come into the office, you must send a written request, with your signature.
Electronic transcript requests are not accepted.
Download the Transcript request form from our website.
The transcript will be stamped "Unofficial Student Copy" unless you specify that it be placed in a sealed envelope.
There is no fee for the transcript.
Please include:
- your complete name (include previous names if applicable)
- your identification number
- dates of attendance
- degree(s) received and date(s) awarded
- your current address and daytime phone (so that we may get in touch with you if necessary)
- the names and addresses to whom you want your transcript sent
International Students
If you need documentation of your graduation for your family to apply for a visa to attend the ceremony, the International Student and Scholar Services office can provide a letter.

Stevens Campus Store
The Campus Store is open on Commencement Day with souvenirs and mementos of Stevens. Also available are frames for your diploma and graduate school rings.

Alumni Association
Please forward the Alumni Association your permanent address or your address you'll be at after the commencement and your e-mail address via their Web page or email.
Letter of Completion
If you must have a letter of completion prior to the Commencement Ceremony, you may request (in writing) a letter of completion once you have completed all the requirements needed for the degree.
The requirements include your application for candidacy, signed by you and your advisor and the graduation fee.
Please include in your request where you want the letter sent and allow one week for the letter to be produced and mailed.
You may mail, fax, e-mail or hand deliver your request to the Registrar's office.
