ACADEMIC LEAVE OF ABSENCE/WITHDRAWAL

Academic Leave of Absence

All matriculated students are expected to maintain continuity of enrollment, except for summer sessions. If this cannot be done, the student must request a leave of absence by completing a Leave of Absence/Withdrawal form and submitting it for approval to the Dean of Graduate Academics located at the EAS building, 4th floor. Once approved, the Dean will forward the information to the Office of the Registrar and to the Office of the Student and Scholar Services for international students. A leave of absence is granted for a limited period of time, usually one year. The time period may be extended at the discretion of the Dean of Graduate Academics if there are extenuating circumstances. Most graduate students have a six-year limitation to complete their degree studies. Time spent in the Armed Forces of the United States while on leave of absence is not included in the six-year limitation noted above. Time spent on leave of absence for other reasons may be included in the six-year limitation. Each case is decided on the basis of individual circumstances by the Dean of Graduate Academics. A leave of absence will also impact a student’s enrollment status at the Institute. Students who request a leave of absence between semesters, other than for the summer sessions, will be considered withdrawn for federal student aid and state aid purposes. As a withdrawn student who has borrowed Direct Loans, any applicable grace period will begin and unless the student returns within six months before the end of the grace period, the student will enter repayment following the grace period.

Action on a student’s academic performance may be taken in due course while a student is on a leave of absence. A student who does not maintain continuity of enrollment and does not obtain a leave of absence may be dropped from the program. Re-enrollment in the program requires permission of the Dean of the Graduate Academics and the Department Director.

Withdrawal

If a student wishes to withdraw from the Institute he/she should complete a Leave of Absence/Withdrawal form and submit it in person or via fax/email to the Dean of Graduate Academics., located at the EAS building, 4th floor. If the student is not able to complete the Leave of Absence/Withdrawal form, the student may also speak directly to the Dean of Graduate Academics and inform the Dean of the student’s desire to withdraw. The Dean will forward the information to the Office of the Registrar and to the Office of the Student and Scholar Services for international students. If a student withdraws during a semester, the published refund schedule applies and Stevens will follow all applicable regulations for the return of Title IV funds.
