Research Records Retention

GENERAL

Purpose

The following SHARPI provides information on the subject of retention of research records.  

Administration

The Office of Sponsored Research is responsible for maintenance and review of this SHARPI Guideline.

INFORMATION

Regulations require the University to maintain for audit purposes all project-related records, both financial and technical (including technical reports, alb notes, and all institutional committee approvals such as human subject, animal care, radiation, etc.) for a minimum of three years (five years for Department Education awards and four years for all information pertaining to export controls) AFTER the submission of the final financial and/or audit report.  Therefore, Principal Investigators, Project Directors and Business Managers/Department Administrators should retain complete grant/contract files for a minimum of five years after project terminal.  After that date, check with the Office of Sponsored Research to ascertain whether longer retention is necessary.
